How Sitedo handles personal data for enquiries, website projects, customer relationships and website analytics.

Controller

Sitedo is operated by Edouard, an independent service provider based in Weesp, Netherlands. For the purposes of the General Data Protection Regulation, Edouard trading as Sitedo is the controller of personal data processed through this website and Sitedo’s services.

Personal data processed

  • Contact details such as name, email address, organisation and existing website.
  • Project information such as organisation type, project description, domain requirements, database requirements, preferred timing, free-text messages and selected language.
  • Subsequent email correspondence and information needed to prepare proposals, quotations and deliver agreed services.
  • Technical and security information associated with a website request, including information needed to protect the website and prevent abuse.
  • Website usage information collected through Vercel Web Analytics, such as pages visited, referrers, device and browser information, approximate location and performance information.

Sitedo uses personal data to respond to enquiries, assess requested projects, prepare proposals and quotations, take steps requested before entering a contract, deliver contracted services, manage customer relationships and send necessary service communications.

Sitedo also uses data to protect the website, prevent abuse, meet accounting, tax and legal obligations, understand general website usage and improve the website.

  • Pre-contractual steps and performance of a contract apply when Sitedo answers an enquiry, prepares a proposal or delivers agreed services.
  • Legal obligations apply to accounting, tax and legally required records.
  • Legitimate interests apply to operating, securing and improving the business, managing customer relationships and understanding general website usage.
  • Consent is used only where consent is actually required for a specific optional activity.

Service providers and recipients

Sitedo shares data only where necessary with trusted recipients. Vercel provides website hosting, infrastructure and Web Analytics. Resend delivers contact-form enquiries by email. Professional advisers such as accountants may receive information where necessary. Public authorities may receive information where disclosure is legally required.

International processing

Technology providers may process information outside the European Economic Area. Where required, Sitedo relies on appropriate lawful transfer mechanisms, such as adequacy decisions or contractual safeguards.

Retention

  • Unsuccessful or inactive enquiries are normally kept no longer than 12 months after the last meaningful communication.
  • Client and project correspondence is kept for the duration of the relationship and afterwards where reasonably required to deal with contractual or legal matters.
  • Invoices and legally required accounting records are retained for the legally required period, normally seven years in the Netherlands.
  • Security and technical logs are retained for the periods applied by the relevant infrastructure provider and only as long as reasonably necessary.

Your rights

You can contact contact@sitedo.eu to request access, correction, deletion, restriction, objection or data portability where applicable. Where processing relies on consent, you may withdraw that consent at any time.

You also have the right to complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens.

Security

Sitedo uses appropriate technical and organisational safeguards designed to protect personal data against unauthorised access, loss, misuse and alteration. No internet service can be guaranteed to be completely secure.
